1. Introduction

TailTracks ("we," "us," or "our") respects your privacy. This Privacy Policy describes how we collect, use, and share information when you use our pet health record service. It should be read together with our Terms of Service.

2. Information we collect

• Account data: such as email, name, and authentication details you provide.
• Pet and health-related data: pet profiles, documents you upload (including images and PDFs), extracted or summarized health information, reminders, weights, and similar records you store in TailTracks.
• Usage and technical data: such as device or browser type, log data, and interactions with the service, including privacy-focused analytics as described below.

3. How we use information

We use information to provide, secure, and improve TailTracks; to process documents and power features you request; to communicate with you about the service; and to comply with law. We may use data (including pet and health-related data) to develop better products and features, which may include training or evaluating internal systems in ways that are consistent with this Policy.

We do not use advertising in the product today and do not sell your personal information to advertisers.

4. Analytics (Umami)

We may use Umami, a privacy-focused analytics tool, to understand aggregate usage of TailTracks. Depending on your environment, Umami may process technical or usage events as described in Umami's documentation. We configure analytics in a way intended to minimize personal data collection.

5. AI processing (Ollama)

Certain features send document content (including text and images derived from uploads) to an AI inference service, which may be powered by Ollama or a compatible host you or we configure. The organization operating that host (for example, you on a local machine, or a cloud provider) may process data according to their terms and infrastructure. Do not upload information you are not permitted to share with such a service.

6. Images

Images you upload may be used for promotional purposes and for our internal operations, as described in our Terms of Service.

7. Retention and account deletion

We retain information as needed to provide the service and for legitimate business purposes (including security and legal compliance). You may request deletion of your full account by contacting us. When an account is deleted, we may remove or anonymize personal identifiers. Some pet or health-related data may be retained in a de-identified form that is not reasonably linkable to you, for example to improve products, maintain backups for a limited period, or comply with law.

8. Security

We implement reasonable technical and organizational measures to protect information. No method of transmission or storage is completely secure.

9. International users

If you access TailTracks from outside the country where we operate servers, your information may be processed in other countries where we or our providers operate.

10. Children

TailTracks is intended for adults managing pet records. If you believe we have collected personal information from a child inappropriately, please contact us.

11. Changes

We may update this Privacy Policy from time to time. We will post updates on this page and revise the "Last updated" date.
